When Should You Book Your Flight Reservation for Visa? Timing Guide

Timing your flight reservation correctly is more important than most applicants realize. Book too early and the PNR might expire before your appointment. Book too late and you are scrambling to assemble documents at the last minute. Here is a practical timing guide.

For Schengen visa applications through VFS, the ideal time to book your flight reservation is 3–5 days before your VFS appointment. This gives you enough time to integrate the flight dates with your hotel bookings, travel insurance, and cover letter, while ensuring the PNR is still active on your appointment day.

For UK visa applications through BLS or TLS, book your reservation 2–4 days before your biometrics appointment. UK visa processing does not require the PNR to remain active after submission, so you primarily need it to be valid on the day you submit.

For US visa applications, timing is slightly different because the process involves two stages: DS-160 submission and the consular interview. You can complete the DS-160 without a flight reservation. Book your reservation 2–3 days before your interview date if you want to bring it as a supporting document.

Canadian and Australian visa applications are fully online, so there is no physical appointment to time around. Book your reservation when you are ready to upload all your documents. Since these visas have longer processing times, consider a service with PNR refresh if you want the booking to remain active beyond the initial hold period.

The general rule: finish preparing all your other documents first — bank statements, employment letter, hotel bookings, insurance — and book the flight reservation last.
